FireHire.app (“FireHire”, “we”, “us”, or “our”) is operated by FireHire.app LLC, a Colorado limited liability company based in Castle Rock, Colorado.

This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use our website and services (the “Service”).

By using FireHire.app, you acknowledge the collection and use of information as described in this Privacy Policy.

1. Information We Collect

We collect information in three main ways:

1.1 Information you provide to us

  • Account information, such as your name and email address, which we currently receive from the third-party account you use to sign in. FireHire.app does not create or store a password for your account.
  • Account preferences and settings, such as your time zone, email notification choices, and feature-level display settings.
  • Payment and billing details (processed by Polar, our payment and commerce provider, including billing status, subscription details, and limited payment-related information made available to us)
  • Content and context you provide when using a feature, such as resumes, oral-board answers, written-exam responses, CPAT-related inputs, demo submissions, and notes. This may include details requested by a feature, such as your city or state, target department, job title, certifications, employment history, and experience level.
  • Messages you send to us (such as support emails, bug reports, feedback, and other communications we review to respond to requests, troubleshoot issues, and improve support quality)

If you submit a support request or bug report, we may share your email address, the content of your submission, and related technical information with the messaging, email, hosting, error-monitoring, or other service providers we use to receive, route, investigate, and respond to the request.

1.2 Information collected automatically

When you use the Service, we may automatically collect:

  • Log data (such as IP address, browser type, device information, pages viewed, timestamps, approximate location derived from IP, and signals used to maintain security, prevent fraud, and help enforce U.S.-only access controls)
  • Usage data (such as features you use, interactions, clicks, generation events, session activity, and similar product-analytics information)
  • Cookies used to keep you signed in and to protect the sign-in process. We do not use cookies for analytics, and we do not use advertising pixels or session replay — see Section 6

If you create an account, we may associate limited pageview, referral, UTM, signup-started, and similar product-analytics events from the same pre-signup visit with your account for attribution, security, analytics, and product-improvement purposes. We do not use cookies, localStorage, advertising pixels, or session replay for this purpose. We do use short-lived, session-scoped browser storage that is cleared when you close the tab, which is why this association is limited to that single visit and does not reach back across earlier browser sessions.

1.3 Information from third parties

We may receive limited information from:

  • Payment providers (such as billing status, subscription status, transaction and invoice identifiers, and limited card details like the last 4 digits). Our Merchant of Record carries out its own fraud-prevention and trial-abuse controls; we do not receive payment-method identifiers for that purpose
  • Analytics tools (such as usage and performance information we receive from analytics providers, error-tracking providers such as Sentry, and product-analytics providers such as PostHog)
  • Authentication information from the third-party provider you use to sign in, currently Google, which may include your name, email address, email-verification status, profile picture, provider-specific account identifier, and authentication or session information needed to complete and maintain your sign-in
  • AI and infrastructure providers that process prompts, responses, and related technical data on our behalf to help us provide AI-powered features
  • Messaging and email services used to receive, route, investigate, and respond to support requests and bug reports

2. How We Use Your Information

We use your information to:

  • Provide, operate, and maintain the Service
  • Manage your account and subscription
  • Process payments, maintain security, and prevent fraud, abuse, and unauthorized use
  • Personalize your experience and show relevant content
  • Improve and develop new features, evaluate product performance, and support our AI-powered features
  • Communicate with you (including service updates, support responses, and important notices)
  • Comply with legal obligations, enforce our Terms & Conditions, maintain records of disclosures or consents you accepted, and protect our rights and the rights of others

We may use anonymized and aggregated data (data that cannot reasonably identify you personally) to analyze usage, improve the Service, and for business and analytics purposes.

When we use third-party AI providers to help generate responses or recommendations, we send the information reasonably necessary to provide the feature, and we expect those providers to process that information on our behalf in accordance with their contractual commitments and applicable law. We do not permit third-party AI providers to use your content to train their general models.

3. Use of AI and Automation

FireHire.app uses AI tools with features such as:

  • Resume feedback, resume analysis, and resume-building suggestions
  • Interview preparation, oral-board practice, daily-question and written-exam features, CPAT-related planning features, and related demo or coaching-style features

We take steps designed to protect your data when using these tools. To provide AI-powered features, we may share prompts, submissions, and related content with third-party AI providers acting on our behalf. AI outputs may sometimes be inaccurate or incomplete, and you are responsible for reviewing all AI-generated content before using or relying on it. We may review prompts, outputs, and related records for fraud prevention, quality assurance, support (including when you voluntarily report an issue or contact support), and product improvement.

4. U.S.-Only Service Access

FireHire.app is intended for users in the United States, and we may use technical measures designed to limit or block access from outside the United States.

If you access the Service from outside the United States, you do so at your own risk and may not be able to use all features.

Your information will be processed in the United States.

We do not represent that the Service is appropriate for use outside the United States.

If laws in your jurisdiction would restrict or prohibit your use of the Service, you should not access or use it.

5. How We Share Information

We do not sell your personal information for money.

We also do not knowingly share your personal information for cross-context behavioral advertising.

We may share information with:

  • Service providers — such as payment and commerce providers, hosting providers, database providers, analytics services, AI providers, authentication providers, security and error-monitoring services, and the messaging and email services we use to handle support requests and bug reports, that help us operate the Service.
  • Professional advisors — such as lawyers, accountants, or insurers, when necessary.
  • Law enforcement or regulators — when required by law or when reasonably necessary to protect our rights, property, or safety, to investigate fraud or security incidents, or to protect others.

We use Polar as our payment and commerce provider. Polar acts as Merchant of Record for paid subscription transactions and may process payment information, billing details, tax information, receipts, invoices, refunds, chargebacks, and related transaction records. FireHire does not store full payment-card numbers.

We may disclose support requests and bug reports to service providers that help us receive, route, investigate, and respond to those submissions. The information disclosed may include the email address associated with the request, the text and files the user voluntarily submits, and related technical or diagnostic information.

If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.

6. Cookies and Analytics

We use cookies for authentication and security, including to complete the sign-in process and keep you signed in. If you agree to our Terms & Conditions and acknowledge this Privacy Policy before signing in, we use a short-lived cookie, which expires after approximately 15 minutes, to carry a temporary record of that choice through the sign-in process until the acceptance and acknowledgment are recorded with your account. Except for this temporary sign-in function, we do not use cookies to store your account preferences or records of legal terms, disclosures, or consents you have accepted. Those preferences and acceptance records are stored with your account or in our systems.

We also use cookieless measurement and analytics tools to understand how visitors and users interact with the Service, measure performance, and improve features. As described elsewhere in this Privacy Policy, these tools do not use advertising pixels or session replay, and FireHire does not sell personal information or share it for cross-context behavioral advertising.

Where our systems detect a supported Do Not Track or Global Privacy Control signal, we disable the analytics and measurement collection described in this section for that browser. These signals do not prevent processing that is necessary to provide the Service, authenticate users, maintain security, prevent fraud, or comply with law.

7. Data Retention and Deletion

We retain your information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • Maintain your active account and provide the Service you request, or
  • Comply with law, maintain appropriate business and audit records, prevent fraud and abuse, resolve disputes, enforce our agreements, and protect our rights.

We may retain limited records where reasonably necessary for legal, tax, accounting, billing, fraud-prevention, security, compliance, consent-audit, and dispute-resolution purposes. These retained records may include billing and transaction records, subscription lifecycle history, support records, age attestations, Terms & Conditions and Privacy Policy acceptance records, demo consent records, CPAT physical-risk acknowledgments, resume attestation records, and other records showing the disclosures, notices, or legal terms presented to or accepted by a user.

In general, we retain billing and transaction records for up to approximately seven years where reasonably necessary for tax, accounting, legal, billing, or dispute-resolution purposes, and we may retain fraud-prevention and consent records for shorter or longer periods depending on the purpose and legal or operational need.

Some retained records may continue to include the email address associated with the relevant transaction, subscription, consent, or legal acceptance after account deletion, where reasonably necessary to identify, verify, or defend the record.

Access to retained legal, billing, and consent records is limited to personnel who need access for legal, compliance, billing, security, support, or dispute-resolution purposes.

If you delete your account, we delete or de-identify your account profile, sign-in credentials, and stored content within our systems, subject to the limited retention exceptions described above and to routine backup, logging, and recovery processes.

8. Your Rights and Choices; How to Submit Requests

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Request deletion of your personal information, subject to exceptions permitted by law
  • Object to or restrict certain processing
  • Request a copy of your data in a portable format (where applicable)

To exercise any of these rights, contact us at info@firehire.app. We may need to verify your identity before processing your request, may ask for additional information reasonably necessary to verify and respond to your request, and may deny or limit a request where permitted by law. You may also designate an authorized agent to submit a request on your behalf where permitted by applicable law.

California residents (CCPA/CPRA and similar state privacy laws)

If you are a California resident, or a resident of another state with applicable privacy rights, you may have additional rights under state law, including rights to know the categories of personal information we collect, the sources and purposes of that collection, the categories of third parties to whom we disclose personal information, and the right to request access, correction, deletion, or a copy of certain personal information, subject to certain exceptions. You may also have the right not to be discriminated against for exercising these rights. We do not sell personal information for money or knowingly share personal information for cross-context behavioral advertising.

If we deny your privacy request, you may reply to our response to appeal the decision or contact us at info@firehire.app with the subject line “Privacy Request Appeal.”

9. Security

We use reasonable technical and organizational measures to protect your information from unauthorized access, loss, misuse, or disclosure.

However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.

10. Children's Privacy

FireHire.app is intended for users in the United States who are 18 years of age or older. We do not knowingly collect personal information from children under 18.

If you believe a child under 18 has provided us with personal information, please contact us at info@firehire.app and we will take appropriate steps to remove that information.

11. U.S. Processing and International Access

Our Service is operated from the United States and is intended for U.S. users. If you nevertheless access the Service from outside the U.S., your information may be transferred to, stored, and processed in the United States, which may have different data-protection laws than your country.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or business operations. Each version of this Privacy Policy will identify its effective date, and we will maintain records of the versions presented to and acknowledged by users. If we make a material change to this Privacy Policy, we may provide advance notice by email or other reasonable means before the updated Privacy Policy takes effect. When an updated Privacy Policy takes effect, we may show an in-app notice and ask you to acknowledge it. Where required by applicable law, we will obtain consent or provide any required notice, choice, opt-out opportunity, or other rights before applying materially different data practices to personal information. Unless a different process or notice period is required by law, your continued use of the Service after the effective date of an updated Privacy Policy means that you acknowledge the updated Privacy Policy.
